Where does the security detail sit? altares Seating takes this burden off your team – no clipboards, no shouting across the room, no double bookings.
The algorithm runs in the background while your hosts scan guests at the entrance. VIPs are guided directly to their reserved table. Companions are automatically seated at the same table. And when security staff spontaneously need seats, your floor team blocks them via tablet – in real time, without interrupting the ongoing check-in.
What altares Seating does
Fully automatic table assignment
Scan the guest – table assigned. The algorithm checks category, available capacity and fill logic, then assigns the right table in milliseconds. Your host tells the guest where to sit. Done.
VIP pre-seating
Guests of honour, speakers and sponsors receive a fixed seat before the event. On the day, they are recognised immediately at scan and directed straight to their table – no algorithm, no waiting.
Companion logic
When a guest arrives with companions, the system immediately reserves all required seats at the same table – including for companions who are still on their way. The seat is held until they arrive or the timeout expires.
Room control via tablet
Your floor team moves through the room with tablets and intervenes directly in the seating plan: block seats, set up security zones, release tables. All changes are visible at the check-in terminal instantly.
Security zone management
For guests with personal protection, adjacent seats can be blocked on the fly – directly on the floor, without walking back to the counter. The block takes effect immediately and is recorded in the audit trail.
Category-based room logic
Define which guest categories go to which tables. The system applies the logic consistently – VIPs together, sponsors grouped, standard guests distributed efficiently. Table groupings and fill order are configured in advance in altares Symphony.
Two-round algorithm
In round one, the system fills tables only up to a configured threshold – creating a visually balanced room with no lone guests at large empty tables. Round two fills remaining seats once all tables have exceeded that threshold.
Trouble counter for exceptions
No suitable seat available? The guest is automatically moved to the trouble counter queue. Counter staff can see all open cases and assign manually – structured, traceable, without chaos.
Real-time room view
The current seating plan is available at any time as a graphical overview – at the counter, the terminal, on the tablet. Free, occupied, blocked, reserved: visible at a glance.

At the checkpoint terminal
The host scans the barcode. The system recognises the guest, checks for pre-seating, assigns automatically and displays the table and seat number. The guest is directed straight away – no looking things up, no hesitation.

A second team handles rebookings, walk-ins, special requests and guests from the trouble counter. All changes are visible at the checkpoint terminal immediately – no duplicate management, no phone calls.
